Summary: 

The Administrative Assistant position is responsible for a variety of daily tasks and activities that are essential to the smooth operation of the Employee Services and Benefits Department.  This position handles a wide variety of tasks requiring high attention to detail, accurate data entry, and effective prioritization and escalation of administrative issues. 

Typical Duties

  • Maintain and regularly update Employee Services & Benefits Sharepoint site, including posting and updating of benefits documents, enrollment deadlines and processes, as well as organizing the site in a manner most beneficial to employees.
  • Personnel, benefit, and medical file routine filing and organization for all Nabholz offices (regularly 1,000-1,300 employees)
  • Monthly benefit bill processing for all locations.
  • Preparation of new-hire and benefits packets.
  • Process employee address changes and employee updates.
  • Answer department phone and provide positive, professional response and assistance to callers.
  • Promotions/demotions tracking and scheduling of initial training for first-time managers.
  • Data entry as directed, including HH2 entry, benefits enrollment, and other matters.
  • Issue initial letter to employees relating to NI from NCC payroll transfers.
  • I-9 updates, purging of records as required by law or regulation, and assisting with I-9 verification process mandated by particular Nabholz clients. Direction will be provided.
  • Continuing education and travel planning assistance for Employee Services and Benefits team.
  • Contact and issue form or schedule face-to-face exit interviews with Employee Services Team Member, scheduling new-hire orientation training, on-boarding training and follow-ups.
  • Cross-train with department Team to sufficiently answer routine questions relating to benefits, deadlines, forms, job application process, etc.
  • Post job openings on-line internally and externally and with appropriate advertising and/or employee-service agencies.
  • Posting of relevant matters on Nabnet employee intranet. Provide assistance with updating the HR Calendar for the Team on a regular basis.
  • Preparation and dissemination of service stickers and employee birthday cards.
  • Assist with annual benefit enrollment audits.
  • Distribute 60-day employee performance reviews and assist with coordinating dissemination of annual performance review forms and tracking of responses.
  • Administer Safety Glasses Program.
  • Must maintain complete confidentiality of all Employee Services and Benefits matters.
  • Assist in planning and preparation of office or company events.
  • Limited travel may be required if requested by the Team.
  • Other duties as assigned.

 Qualifications:

  • 1-2 years business or technical training plus minimum 2 years administrative experience or equivalent combinations training and related experience.
  • High School Diploma or GED preferred.
  • Working knowledge of general office procedures plus ability to organize and coordinate group work efforts required.
  • Excellent communication (written and oral) skills required.
  • Proficiency with complete suite of Microsoft Outlook is required, with strengths in Word, Excel, and PowerPoint.

Physical Demands:

  • Ability to continuously sit, stand or walk.
  • Ability to bend, squat, climb stairs and lift frequently.
  • Ability to lift up to 20 pounds occasionally.
